About the role
Accountaxpert is a thirteen-year-old firm with a single founder and no management layer. A large amount of small, important work — proposals, client messages, chasing internal deadlines, preparing reports — currently routes through one person, simply because there is nobody positioned to take it.
This role is that person. Half of it is supporting the founder directly: drafting, preparing, corresponding, organising. The other half is keeping the wider team on schedule so that things happen without the founder having to ask. Done well, it changes how the whole firm operates.
This is not a data-entry or filing role, and not one where you wait to be told what to do next. It is not a technical accounting role — you are not expected to prepare accounts or returns. You are expected to take a short instruction, produce good work from it, and raise the things that do not look right.
What you'll do
- Executive support — drafting proposals, engagement letters and client documents from our standard templates
- Writing and replying to client and partner emails, on your own initiative or on the founder's behalf
- Preparing working files, summaries and comparisons from documents, spreadsheets and statements
- Taking calls where appropriate and following up in writing
- Coordinating content and material for the marketing and sales teams
- Managing the founder's calendar, meeting preparation and follow-ups
- Operations — running the daily written check-in, confirming every team member has posted and chasing those who have not
- Maintaining the delivery calendar — knowing what is due, for which client, and when
- Flagging anything at risk of missing its deadline before it slips, not after
- Collecting the weekly numbers and preparing the founder's Monday dashboard
- Tracking outstanding items across the team — who owes what, by when
- Coordinating leave cover so no client is left without a named contact
What we're looking for
- 3–6 years as an executive assistant, operations coordinator, business analyst, project coordinator or similar
- Analytical judgement — you compare things carefully, notice when two numbers that should match do not, and spot when a document contradicts itself
- Comfortable saying “I don't know” — confident wrong answers cause far more damage than honest questions
- Excellent written English — clear, correct and professional, across registers (a short client email, a formal proposal, an internal instruction); assessed from a live writing exercise, not your CV
- Clear spoken English, comfortable on a video call with a client you have not met, and able to chase a colleague politely and persistently without escalating every time
- Demonstrable experience using AI tools (ChatGPT, Claude or similar) in real work — and, more importantly, able to tell good output from bad and treat it as a first draft to be checked
- Willing to use only firm-approved tools, and never to put client data outside them
- Strong Excel or Google Sheets — comfortable with formulas and comparisons
- A degree in business, finance, commerce, English or a related field
- Discretion — you will see client financial information, pricing and salaries; confidentiality applies from day one and after employment ends
- Available for the shift stated above
Nice to have
- Experience in a professional services firm — accounting, law, consulting
- Exposure to international clients, particularly US or UK
- Familiarity with accounting or finance terminology
- Experience preparing proposals or client-facing documents
- Experience coordinating a team or a schedule
- A non-obvious background is welcome — if you have strong English, good judgement and genuine AI-tool skill, we're interested even if your title has never been “executive assistant”. Tell us in your application why you'd be good at this.

How we assess you: (1) Application — online form including two short written answers. (2) 20-minute video call — spoken English, availability, how you think about problems. (3) Practical exercise (the most important stage) — a real task with AI tools available and supervised: produce a short client document and review a draft containing deliberate errors. We assess whether you find the errors and how you describe what you're unsure about — not whether the output is perfect. (4) Final interview — with the founder: judgement, discretion, handling competing priorities. (5) References — two, one from a direct manager. Applications are reviewed within five working days.
